Instagram Auto Reply: From Native Tools to an AI Assistant
Instagram auto reply: Meta's free tools, the rules to respect (24-hour window, AI transparency) and when to move to an AI assistant.
Published on 3 November 2026. Meta's messaging tools change often: we will update this article with each notable change.
Yes, you can set up an auto reply on Instagram, provided you have a professional account. Meta offers, free of charge, an instant reply, an away message, frequently asked questions and keyword-based replies. These tools send texts written in advance; for a reply that genuinely adapts to the question asked, you need an AI assistant connected to the Instagram Messaging API.
Here is what each level allows, the Meta rules to respect, what European law has required since August 2026 when an AI replies, and a five-step method so that your automated replies help your customers instead of annoying them.
Transparency: HelloDesk, the publisher of this article, develops an AI assistant that replies to Instagram messages among other channels. The rules quoted link to Meta's official pages so you can check everything.
Can you set up an auto reply on Instagram?
Yes, as soon as your account is a professional account, meaning a "business" or "creator" account. Meta's automated messaging tools, like the API that lets you connect a third-party tool, are reserved for these accounts. Meta's documentation states that the Messaging API is open to "any Instagram Professional account for a business" and "for a Creator".
The need, meanwhile, is almost always the same: messages arriving at all hours, often the same questions (opening hours, prices, availability, delivery), and one person replying when they can. An auto reply does not replace your reply: it keeps people waiting properly until yours arrives.
What do Meta's free tools offer?
Meta offers four families of automated replies, spread between the Instagram app and Meta Business Suite. None of them understands the question: each sends a text you wrote in advance, triggered by a simple rule.
- Saved replies. Prepared texts you insert into a conversation with a shortcut. Handy, but you are the one sending.
- Frequently asked questions. When someone opens a conversation with you, Instagram offers them a few ready-to-send questions, with the answer you wrote. Their number is limited to a handful, depending on the app used.
- Instant reply and away message. In Meta Business Suite, the first greets anyone who messages you for the first time; the second is sent during the time slots you schedule.
- Keyword replies. Also in Business Suite, a reply triggered by certain words. The official Instagram for Business page says you can add "up to 5 keywords or phrases", choose when the message is sent and enrich it with text, photos, videos and buttons.
For an account that receives a few messages a day, almost always the same ones, these tools are enough and take a few minutes to set up.
What are the limits of native auto replies?
The main limit is simple: they do not read the question. A keyword reply fires on "price" or "rate" if you thought of those words, not on "how much is it for two people?". And once the text is sent, the conversation stops until you take over.
Three situations overwhelm the system:
- Freely worded questions, which contain none of the planned keywords and get either nothing or an off-topic greeting.
- Requests that call for a follow-up: a booking, a quote, availability. The automated message can say "we will get back to you"; it can neither ask the useful questions nor pass on a complete request.
- Volume. Once messages arrive by the dozen, along with replies to stories and comments, nobody reads everything and the important requests get buried.
That is the tipping point towards an AI assistant: not to "automate Instagram", but to answer the question actually asked, ask for what is missing and hand over to a person when needed. The principle is the one we describe for automating WhatsApp Business with AI.
What does Meta say about the 24-hour window?
When a third-party tool replies on your behalf through the API, your application has 24 hours to respond to a received message. The Instagram Messaging API documentation puts it this way: "your messaging app has 24 hours to respond to this message". Beyond that, a specific tag is required. The platform policy specifies that the "human agent" tag lets a business respond manually "within a 7-day period". In other words, automation has to respond quickly; after 24 hours, only a person can pick the conversation back up.
Two other Meta requirements matter before choosing a tool:
- An escalation path to a human is mandatory. The documentation lists it among the prerequisites of any Instagram messaging application: a customer must be able to leave the automation and talk to someone.
- The handover between the automated tool and your inbox is provided for by Meta, under the name "Handover Protocol". A good tool uses it so that your conversations do not stay stuck in the assistant.
Do you have to say an AI is replying?
Yes. Since 2 August 2026, Article 50 of the European Artificial Intelligence Act requires that people interacting with an AI system be informed of it, unless it is obvious from the context. An assistant that replies to your Instagram messages falls within this scope. Meta's native replies (greeting, away, keywords), which send fixed texts, do not.
Beyond the obligation, it is good business practice. A customer who thinks they are talking to a person and discovers a program feels deceived; told upfront, the same customer appreciates the immediate reply. One sentence in the first message is enough: "I am [your business]'s assistant, I answer common questions right away and pass the rest on to the team."
How to set up an Instagram auto reply in 5 steps
Whether you stay with Meta's tools or move to an AI assistant, the method is the same: start from your real messages, write little, test, and decide in advance what happens when automation is not enough.
- Reread your last 50 received messages. Three piles: questions whose answer is always the same, requests that call for a follow-up (booking, quote, order), and the rest. The first is handled with fixed replies, the second with qualification questions, the third by you.
- Write your replies the way you speak. A short greeting that says when a person will reply, and three to five fixed replies for the first pile.
- Set up the right level. Few messages and repetitive questions: Business Suite is enough. Requests that call for a follow-up, or volume: connect an AI assistant to your account, with your information up to date (opening hours, prices, terms, availability).
- Decide which questions to ask and when to hand over. For a booking, the date and number of people; for a quote, the nature of the job and the deadline. We detail this logic in our article on how to qualify a prospect. Also set the handover rule: any request outside the scope goes to a person, with the context.
- Reread the conversations every week for a month. Spot off-topic replies, unanswered questions and annoyed customers, then correct the texts or the information given to the assistant.
Creator or local business: two different uses
For a creator or a high-audience account, the auto reply mainly serves to absorb volume: thank people, point to a link, separate collaboration requests from fan messages. Meta's keywords cover a good part of the need; an AI assistant becomes useful when commercial requests get mixed in with the rest and deserve proper follow-up.
For a shop, a restaurant, a salon or a tradesperson, the need is the reverse: fewer messages, but each one can be worth a sale. A question about availability at 10 pm, left unanswered until the next day, often goes to a competitor. What is at stake is not volume but the quality of the first reply. That is the use for which an assistant that answers, qualifies and hands over brings the most, especially if it also handles your other channels in a single inbox.
Frequently asked questions
How do you set up an auto reply on Instagram?
First switch to a professional account in Instagram's settings. Then, two paths: in the app, turn on the frequently asked questions in messaging; in Meta Business Suite, create an instant reply, an away message or a keyword reply from the inbox. Each automation has to be switched on after saving.
Are Instagram auto replies free?
Yes. Saved replies, frequently asked questions, instant reply, away message and keyword replies are included in Instagram and Meta Business Suite at no cost, for any professional account. Only moving to a third-party tool or an AI assistant connected to the API may be paid, depending on the provider chosen.
Can you put an AI chatbot on Instagram?
Yes, through the Instagram Messaging API, open to professional accounts. The tool has to respect Meta's rules: respond within 24 hours, offer a path to a human and use the handover provided for. Since 2 August 2026, the European AI Act also requires informing people that they are talking to an AI.
What is the difference between instant reply and away message?
The instant reply greets anyone who messages you for the first time, whatever the time. The away message is only sent during the time slots you have scheduled, for example evenings and Sundays. Both are set up in Meta Business Suite and can coexist, with different texts.
What happens if you do not reply within 24 hours?
For a tool connected to the API, Meta closes the automated reply window 24 hours after the customer's last message. A person can still reply manually for 7 days thanks to the "human agent" tag. For your replies from the Instagram app, no limit of this kind applies: you reply whenever you want.
Do you have to warn that a message is automated?
For a fixed greeting or away text, nothing requires it, but saying so avoids misunderstandings. For an AI assistant that generates its replies, Article 50 of the European AI Act has required it since 2 August 2026, unless it is obvious. One sentence in the first message is enough, and it generally improves how the assistant is received.
In short
An Instagram auto reply requires a professional account and a few minutes in Meta Business Suite. These tools send fixed texts and are enough for a few repetitive messages. As soon as requests call for a follow-up or volume rises, an AI assistant connected to the API takes over, on three conditions: respond within 24 hours, say it is an AI, and hand over to a person as soon as necessary.
